Key Responsibilities:

Required Qualifications:

  • Minimum 5–10 years of field supervision experience in high-end custom home building or high-end residential construction.
  • Strong working knowledge of architectural and structural drawings, MEP systems, and Florida Building Codes.
  • Proven track record of managing high-end residential projects ($2M–$20M+) from start to finish.
  • Proficiency in construction management tools such as Procore, MS Project, Viewpoint Vista, or similar platforms.
  • Exceptional communication, leadership, and problem-solving skills.
  • Ability to multitask, prioritize, and remain calm under pressure.

Physical Requirements:

  • Ability to stand, walk, and navigate active construction sites for extended periods.

Position Overview:

The Construction Estimator will be responsible for developing comprehensive and accurate project cost estimates based on architectural drawings, specifications, and subcontractor pricing. This role requires strong analytical skills, deep construction knowledge, and the ability to manage multiple estimates simultaneously, all while working in a fast-paced environment where discretion, professionalism, and precision are key. The ideal candidate will also take an active role in bid coordination, Procore setup, and subcontractor outreach.

Key Responsibilities:

  • Analyze architectural drawings, specifications, and related documents to develop accurate and comprehensive project estimates.
  • Perform detailed quantity takeoffs and material pricing using estimating software.
  • Break down costs for labor, materials, equipment, and overhead in alignment with project scope and design intent.
  • Identify and propose value engineering options, scope gaps, and potential constructability issues.

  • Upload and track all incoming plans, specifications, and bid materials.
  • Create and distribute bid invitations to subcontractors and suppliers.
  • Follow up via phone/email to confirm subcontractor participation and coverage for all trades.
  • Maintain an accurate and up-to-date vendor and subcontractor database.
  • Conduct preliminary reviews of subcontractor scope coverage and bid completeness.
  • Create scope sheets and bid comparison matrices for each trade.
  • Log and manage RFIs from subcontractors and vendors; maintain an active RFI log.
  • Distribute addenda and updates promptly to all bid participants.
  • Track current bid status, deadlines, and subcontractor responses.
  • Attend preconstruction meetings and produce agendas, meeting minutes, and logs in Procore.
  • Support initial site visits and document existing site conditions for estimate accuracy.

Administrative & Procore Support:

  • Assist in setting up project frameworks in Procore, including contact entry for subs, consultants, and clients.
  • Generate and maintain key documentation including drawing logs, meeting notes, contact lists, and action item lists.
  • Coordinate and support job kick-off meetings, including preparation of visual aids, schedules, logistics boards, and attendance tracking.
  • Create and distribute professional documentation that supports transparency and efficiency throughout the preconstruction process.

Qualifications:

  • Bachelor’s degree in construction management, Civil Engineering, Architecture, or related field preferred.
  • Minimum of 2–5 years of experience in construction estimating, ideally for high-end residential and/or commercial projects.
  • Strong understanding of luxury construction methods, architectural detailing, and market-specific pricing.
  • Proficient in estimating software (e.g., Bluebeam, Sage Estimating, PlanSwift, or similar).
  • Experienced with Vista Viewpoint, or willing to become quickly proficient.

Project Accountant (Full-Time)

West Palm Beach, FL

Position Overview:

The Project Accountant plays a critical role in ensuring the financial health and accuracy of our construction projects. This position is responsible for job cost entry, subcontractor compliance, client billing, budget tracking, and regular coordination with Project Managers and external stakeholders.

We are seeking a detail-oriented professional with a strong background in construction accounting—preferably within the high-end construction sector. The ideal candidate is versatile and flexible, ready to take on any accounting function necessary to support the success of the project.

The Project Accountant is also responsible for proactively identifying and reporting any unusual or ongoing costs that may not have received prior approval and could impact the project’s financial outcome. These findings must be communicated to both the Project Manager and the Chief Financial Officer in a timely manner.

Key Responsibilities:

  • Manage all aspects of project billing cycles including Accounts Payable (AP), Accounts Receivable (AR), and cash receipts.
  • Ensure subcontractor, supplier, and vendor account balances are accurate within Viewpoint at all times.
  • Review and enter subcontractor and vendor invoices into Viewpoint or related accounting systems.
  • Assist with creating and maintaining accurate Contract Items (Schedule of Values) and Job Phases (Cost Codes) for all projects.
  • Coordinate with Project Managers on the preparation of monthly client progress billings, T&M invoices, and change orders.
  • Track and reconcile actual vs. budgeted and projected job costs; support timely and accurate monthly project reporting.
  • Monitor and analyze job cost reports, including actual vs. budgeted and projected costs.
  • Support financial close-out of projects, including final billing and collection of lien releases and required documentation.

Compliance & Documentation

  • Maintain up-to-date subcontractor compliance records, including insurance certificates, W-9s, and lien waivers.
  • Ensure proper retainage tracking and release in coordination with compliance documentation.
  • Maintain Notice to Owner logs and support timely release of payments based on received documentation.
  • Maintain accurate and auditable records of all financial transactions in accordance with company policies and procedures.
  • Scan and file all original accounting documents into Viewpoint or the central Accounting Department as required.

Collaboration & Support

  • Communicate effectively with Project Managers, subcontractors, and vendors to resolve billing issues or discrepancies.
  • Maintain proactive tracking of open Accounts Receivable and notify PMs of any past-due amounts.
  • Provide accounting assistance and backup documentation during internal or external audits.
  • Assist with entry and tracking of Subcontractor Change Orders and related paperwork.
  • Maintain organized and auditable records of all project-related financial transactions.

Qualifications & Skills:

  • Associate’s or Bachelor’s Degree in Accounting, Business Administration, Finance, or related field (or equivalent experience).
  • 2+ years of project accounting experience, ideally within the construction industry or a luxury building firm.
  • Experience with construction accounting platforms (Viewpoint Vista, QuickBooks, Procore or similar).
  • Proficient with Microsoft Excel and accounting/reporting tools.
  • Understanding of lien waivers, notices to owner, AIA billing formats, and subcontractor compliance.
  • Strong attention to detail with excellent organizational and time management skills.
  • Clear verbal and written communication abilities.
  • Capable of working independently and collaboratively across teams.
  • Familiarity with CSI divisions and cost code structure is preferred.
